Job overview

This is a fantastic opportunity for a highly motivated, enthusiastic and flexible individual to join the Secretarial Team supporting the Senior Management Team in Integrated Care.

This role requires a highly organised person with the ability to priorities their workload, work in a calm and effective manner and communicate well at all levels.

In this vital role you will provide comprehensive confidential administrative services. Work is varied, interesting and sometimes challenging and requires someone who has a strong work ethic and a desire to work in a fast paced environment.

You will be arranging and coordinating meetings, taking minutes and managing busy diaries for the Senior Management Team.

With your previous experience of working in a busy office based environment you should have the ability to demonstrate accurate working and be able to work well as part of a team.

The administration team is a very friendly team and the work is varied and interesting.

 

Main duties of the job

The post holder will demonstrate good organisational skills and have the ability to plan and undertake additional work as required.

Undertake duties delegated by management, using own initiative, and working without supervision.

To provide a courteous and diplomatic point for enquiries.

The post holder must be able to maintain a total level of confidentiality and be able to understand and act on information.

The post holder will be familiar with a full range of clerical/secretarial tasks and undertake specific duties.

To provide secretarial support to senior managers as required.

Detailed job description and main responsibilities

Provide a confidential and comprehensive secretarial service and to undertake a full range of administrative duties to support Senior Management team within Integrated Care Business Group.

Be required to prioritise own work and make judgements in relation to, for example, resolving conflicting diary appointments and/or meeting arrangements.

Responsible for the prioritising of own work commitments on a day-to-day basis, and the planning of diary maintenance, meetings and schedules.

To undertake all meeting preparation and support including preparation of agendas and supporting papers; note taking and action planning; distribution of notes and follow up of actions and all other housekeeping tasks associated with services governance structures.

Required to undertake the ordering of stock and supplies and monitor levels.

To be conversant with all of the services offered within the Business Group.

Person specification

Education & Qualifications

Essential criteria

Educated to GCSE level or equivalent.
Maths and English at C or above or equivalent.
Word processing and computer literacy skills to RSAIII or NVQ Level 3.

Knowledge

Essential criteria

Knowledge of a full range of administrative and organisational policies and procedures, acquired through knowledge, training and relevant experience.
Intermediate knowledge of all Microsoft Packages (Word, Excel, Access, PowerPoint)
Good working knowledge of email and internet

Desirable criteria

Knowledge of the Trust including the range of services provided
NHS Background or an understanding of the

Experience

Essential criteria

Working experience of general office duties.
Experience of working with routine and urgent work in an administration and secretarial capacity usually gained through 2 years experience.
Experience of developing and maintaining office systems including electronic and physical filing systems.
Experience of taking minutes of meetings
Experience of working as part of a successful team.
Experience of using Internet & Email
Proven experience of prioritising work and meeting deadlines
Experience of handling issues that are confidential.
